Important information about what RIS is, what it is not, and the boundaries of our service.

What RIS IS

RIS (Regulatory Intelligence System) is a property compliance management software platform designed to help UK landlords and property managers:

  • Track and manage compliance documentation (Gas Safety, EICR, EPC, Fire Risk Assessments, etc.)
  • Receive automated reminders for certificate renewals and expiring documents
  • Store and organise compliance evidence in a centralised system
  • Generate audit packs for council inspections or HMO licensing
  • Maintain a timestamped record of compliance activities
  • Answer the question: "What was known, when it was known, and what action was taken"

What RIS IS NOT

RIS does not provide legal advice, legal opinions, or compliance guarantees.

RIS is NOT:

  • A substitute for professional legal advice from a qualified solicitor
  • A regulatory authority or enforcement body
  • A certification or accreditation service
  • A guarantee of compliance with any law or regulation
  • A replacement for professional property management
  • An insurance product or liability coverage
Legal Responsibility Boundaries

Responsibility remains solely with the legally responsible party.

The legal responsibility for property compliance rests entirely with the landlord, property owner, or managing agent as defined by applicable UK law. This includes but is not limited to:

  • Ensuring properties meet all relevant safety standards
  • Obtaining and renewing required certificates on time
  • Responding to compliance issues and enforcement notices
  • Making decisions about property management and tenant safety
  • Verifying the accuracy of information stored in any system

RIS provides tools to help manage these responsibilities, but does not assume or transfer any legal obligations from the responsible party to RIS or its operators.

Audit & Evidence Power

RIS maintains timestamped records of:

  • When documents were uploaded
  • When compliance status changed
  • When reminders were sent
  • When actions were taken by users
  • System-generated audit logs

These records may be used to demonstrate due diligence in managing compliance, but they are not a substitute for the underlying compliance certificates themselves, which must be obtained from qualified professionals.

Data & Information Boundaries

RIS processes and stores information provided by users. We do not:

  • Verify the authenticity of uploaded documents
  • Independently confirm compliance status with regulatory bodies
  • Access or store confidential financial information (CFIN data)
  • Share data with third parties except as described in our Privacy Policy
  • Make independent assessments of property safety

Information accuracy is the responsibility of the user who uploads it.

Limitation of Liability

To the maximum extent permitted by law:

  • RIS is provided "as is" without warranties of any kind
  • We do not guarantee uninterrupted or error-free service
  • We are not liable for any compliance failures or enforcement actions
  • Our liability is limited to the fees paid for the service
  • We are not responsible for decisions made based on RIS data

RIS is designed for use by:

  • UK landlords (private and social housing)
  • Property management companies
  • Housing associations
  • Build-to-rent operators
  • Property portfolio managers
  • Compliance officers in property organisations

Users should have appropriate authority to manage compliance for the properties they add to the system.

Regulatory Positioning

RIS is a software service, not a regulated financial service. We are:

  • Not regulated by the Financial Conduct Authority (FCA)
  • Not a legal services provider regulated by the Solicitors Regulation Authority
  • Subject to UK data protection law (UK GDPR) and ICO oversight for data handling
  • A technology provider supporting property compliance management
